Under the direct supervision of the Education Manager, and in consultation and with regular direction from the Residency Program Director, the Residency Coordinator is responsible for managing the daily administrative activities of the residency program as outlined in the Accreditation Council for Graduate Medical Education (ACGME) Common Program and Specialty Program Guidelines for Graduate Medical Education. In addition, the Residency Coordinator is responsible for the direct supervision of the residency program student worker and serves as a primary liaison between the Residency Program Director, residents in-training, program faculty, the University of Minnesota's (Central) GME Office, Surgical Administrative Center (SAC), affiliated teaching sites and others concerning residency program matters. The Residency Coordinator serves as the first point of contact for the residency program and possesses a spirit of cooperation, support and understanding for working with resident physicians, medical students, department leadership, faculty and other administrative and clinical support personnel.

Job Duties:
50%- Manage compliance with General Program Policies and Procedures

Review, update, and maintain Department of Orthopedic Surgery Policy and Procedure Manual
Coordinate, prepare, and distribute academic calendar for the year.
Assist in developing and maintaining residency curriculum and schedules
Monitor duty hour compliance
Coordinate all evaluation processes for the residency program
Manage all components of resident files, including evaluations, semi-annual review reports,   and academic and administrative records
Coordinate residency in-training and board exams
Coordinate all processes related to residency program review
20%- Manage governing body requirements compliance

Manage data required for required governing body reports and databases, such as ACGME Accreditation Data System (ADS), AAMC Electronic Residency Application Service (ERAS), the National Residency Matching Program (NRMP), etc.
Monitor compliance with ACGME and American Board of Orthopedic Surgery (ABOS) requirements
Maintain accreditation documentation
Act as a liaison between the UMN Central GME office, ACGME, and other external stakeholders
Monitor resident compliance with UMN HR and training policies
10% -Coordinate resident recruitment and selection

Serve as the first point of contact for the recruitment of residents
Assist the Program Director and Education Manager in implementing recruitment plan
Assist in the planning and coordination of applicant interviews
Coordinate with Surgical Administrative Center regarding resident onboarding
10%- Coordinate resident onboarding, orientation, and graduation

Review and maintain onboarding documentation
Assist in the planning and execution of all events related to resident onboarding, orientation, and graduation
10%- General education administration

Oversee time away process for residents
Assist in scheduling and arranging quarterly faculty meetings, Program Evaluation Committee (PEC) meetings, Clinical Competency Committee (CCC) and other regularly scheduled meetings as needed
Serve as point of contact to residents, faculty, and staff regarding all matters concerning residency program
Assist residents in navigation of HR aspects including resident wellbeing, PTO, work related injuries, etc.
Cross-coverage with Orthopedic Surgery Medical Student Coordinator on medical student rotations, educational activities, and the transition of medical students into Orthopaedic Surgery Residency
Supervise education student worker

All required qualifications must be documented on application materials

Required Qualifications:

  • BA/BS with at least 2 years of experience or a combination of related education and work experience equal to six years
  • Advanced proficiency in Video Conferencing (Zoom and Teams), Microsoft Word, PowerPoint, and Excel
  • Excellent verbal and written communication skills
  • Demonstrated ability working on a team, including the ability to interact professionally with a variety of stakeholders
  • Demonstrated proficiency in Google applications
  • Demonstrated ability to organize and present complex information

Preferred Qualifications:

  • Experience in graduate medical education, undergraduate medical education, or healthcare education
  • Commitment to diversity in the workplace
  • Previous experience working with Surgeons or Physicians, medical students, residents, or fellows
  • Previous experience working in graduate medical education
  • Experience creating or coordinating complex schedules
  • Familiarity with systems including ACGME WebADS, QGenda or AmIOn, board certification/maintenance of certification, New Innovations
